Coworking spaces have particular invoicing needs — memberships, bookings, day passes and various services. Verifactu affects all of that invoicing.
A coworking space issues invoices for multiple concepts — monthly memberships, room bookings, day passes, additional services such as printing, lockers or registered address, and events or training. Verifactu affects all that invoicing, and each of these operations must generate an unalterable record.
A coworking space can issue dozens or hundreds of invoices per month. Your software must handle this volume without chaining or submission errors. Low-amount day passes can be issued as simplified invoices (type F2), with reduced requirements for amounts under 400 euros.
The variety of concepts requires managing multiple invoicing series. Verifactu requires correct chaining within each series and that all series are declared. Additionally, invoicing to companies requires full tax data of the recipient on complete invoices (F1).
Verifactu also requires a detailed tax breakdown in each record, including the type of operation and the tax regime code. This affects how you configure each product or service in your software.
Your software must meet all Verifactu requirements — responsible declaration from the manufacturer, records with SHA-256 digital fingerprint, record chaining, automatic QR code on invoices and automatic submission to the AEAT.
In addition to Verifactu requirements, a coworking space needs specific functionalities — memberships with recurring invoicing, room bookings with invoicing, product catalogue with configurable VAT, contact and company management with tax data, and online payment collection via Stripe or another payment gateway.
Many coworking spaces manage memberships, invoicing and bookings with different tools. With Verifactu, this becomes complicated — record chaining, tax data synchronisation and liability for errors become fragmented. The simplest solution is an integrated platform.
CokuApp is designed for coworking spaces, with Verifactu invoicing included as standard.
